Change and transformation support

Ideal provides change and transformation advisory service for Acute London Trust's Cerner implementation

Ideal is working with an Acute London Trust to lead their change and transformation workstream for a high profile Cerner Millennium implementation.  The implementation, set to go live in the summer of 2012, will take place across a number of the Trust's departments, including A&E.

Change and transformation, encompassing process redesign, stakeholder engagement and communications, form an essential part of any IT implementation.

Changes as a result of the Cerner Millennium implementation will have a significant impact on the operation of the departments in scope; therefore it is critical that the processes are accurately designed, managers are fully involved and that they take ownership of the trsnsformed processes.

Mark Lovatt, the Ideal consultant who will lead the transformation workstream for the Trust, will plan and manage the change activities assisted by a team of change analysts.  The change team will work alongside Trust designated process leads, involving staff and managers in the redesign of processes.

Mark said, "Ideal's experience has shown that a lack of focus on transformation typically results in very slow system uptake.  If staff are not properly engaged, there is often resistance to the change in working practices.  If processes are not redesigned properly, users must spend time working out how to use the system post go live.  As a result problems only surface when the system is used in anger.  The benefits of using 'future state' processes for testing and training are also lost where it is not done properly and Trusts can find themselves going live with an untried and untrained system.

"Ultimately, properly planned and managed change ensures the risk of cost of change post go live is minimised and benefits start to be realised as soon as possible.

"Ideal has extensive experience in this field and as such we are able to provide expert advice and lessons learned from other implementations, as well as providing capacity and capability in line with a project's resource requirements to ensure our clients minimise risk and maximise benefits."

Activities that will be covered by the change and transformation workstream include staff observation, role mapping and process mapping workshops.  Outputs from these activities will form important inputs for the definition of the scope of work, for testing scripts and the localisation of training courses.

As a result of the new system implementation, the Trust plans to realise a number of important benefits.  These are expected to be in the form of improved information sharing across departments, more accurate and up to date patient information that can be accessed from an increased number of locations on site and reduced maintenance and licensing costs of legacy systems.  All benefits should ultimately improve front line services and patient care.
